The problem
A shipping label is a data-carrying surface that has to survive a physical journey, and where it is evaluated is not where it has to work. It is judged at the printer — indoors, on a fresh label, flat, in good light, by a person. It is used somewhere else entirely: on a moving belt, by a machine, at an angle, at speed, after the carton has been stacked, dragged, wrapped, chilled and rained on. The gap between those two conditions is the whole subject.
That gap has a specific and under-appreciated property: **human-readable and machine-readable do not degrade together.** A label can be perfectly legible to the person holding it and unreadable to a scanner, because the things that stop a scan — a fine void where a print element has failed, a reflective film over the mark, a curve, a wrinkle — are things a person reads straight through without noticing. So the label that comes back looking fine is not evidence that it worked, and the person checking it is the wrong instrument.
Placement decides more than print does, and it is decided by whoever is applying labels rather than by anyone who thought about it. A label over a seam sits on two planes. A label around a corner cannot present a flat mark to anything. A label under strapping or beneath stretch film is being read through a distorting layer, and a label on the face that ends up pressed against the next pallet is not being read at all.
Adhesion is where the physical environment gets its say. The label has to stay on a surface that may be cold, dusty, damp or freshly out of a chiller, and the bond forms in the first moments after application under whatever conditions exist then. A label applied to a wet or frozen carton has already had its outcome decided. That is this card's only argument about adhesive; whether the carton itself stays closed is a different decision, made about the closure and the tape rather than about the label.
Then there is the requirements question, which has to be handled carefully. Every carrier publishes its own labeling requirements, those requirements are not the same between carriers, and they change. That makes them a **document to obtain**, from the carrier the customer actually uses, at the current revision — and it makes them exactly the kind of thing a supplier should refuse to paraphrase. The useful contribution is making sure somebody has the current document and has compared it with what is being produced, not telling anyone what it says.
The failure mode that keeps all of this invisible is the feedback loop. A label fails somewhere else, hours or days later, in somebody else's building, and what comes back is a charge, a delay, or a phone call — not the carton. The evidence is gone, the cause is inferred, and the loop is long enough that nothing connects it to the roll of labels that produced it.
Why it costs
Scan failures are handled rather than reported, which is the first thing to understand about the cost. A mark that does not read gets keyed by hand or diverted to somebody who deals with it, and the shipment continues — so the event that cost money leaves no trace in the shipper's records at all. The rate is knowable only by asking the carrier, and asking is free.
The visible costs arrive as charges and exceptions on the carrier's terms rather than the shipper's. Whether additional handling was applied, how often, and against which lanes is answerable from the invoice, which is a better place to start than any argument about labels — because it converts the subject from an opinion into a number the customer already owns.
Downstream of that sits delay, and delay is where the relationship cost lives. A shipment that stops moving because it cannot be identified is late in a way that looks like unreliability to the receiver, and the receiver does not know or care that the cause was a printhead.
Retail and distribution customers add a contractual layer, since non-conforming shipments can be charged back under the terms the receiver sets — a receiving requirement the shipper agreed to and does not monitor.
Then the reprint and reapply cost, which is small per event and entirely untracked. Every relabeled carton is handling that was already paid for once, and a stack of reprints beside a printer is that cost made visible.
This resolves to a test rather than an inspection: has anyone ever taken a label that completed a real journey and put a scanner on it. Not a fresh one from the roll — one that has been through the trailer. Everything else in this card is a hypothesis about what that test would show.
What a rep can see on a walkthrough, without asking a question
- Labels applied across a carton seam, edge, or corner
- Labels applied over strapping, banding, or an existing label
- Stretch or shrink film covering the label on a wrapped pallet
- Tape run across a barcode
- Label corners lifting, curling, or peeled back
- Print that is faded, streaked, or banded
- A pale vertical line running through a printed barcode
- Handwritten additions or corrections on a printed label
- Several labels on one carton with older ones left in place
- Labels only on the top face, or only on a face that ends up against another pallet
- A label printer sited in dust, damp, or direct sun
- Ribbon and label stock that visibly do not suit each other — flaking or smearing
- Cartons labeled while wet, or straight out of cold storage
- Reprinted labels stacked beside a printer waiting to be reapplied
- No scanner or verifier anywhere in the packing area
How to use these: A rep must not tell a customer what any carrier requires. Carrier requirements are that carrier's own published specifications, they differ between carriers, and they change — so they are a document to obtain from the carrier, never something a supplier states from memory or from experience of another account. Do not describe a label as passing or failing anything, and do not name a print-quality grade; whether a mark scans is measured with equipment, on the label that actually shipped, not judged by eye. A lifting corner might be one bad roll. What the cues do establish is whether the label is being made and applied in conditions that resemble the ones it has to survive. Ask whether anyone has ever scanned a label after it came off a trailer.
